AI for trucking and logistics companies: less paperwork between the load and the invoice
Small carriers and logistics companies lose hours to email, phone calls, and paperwork: load tenders, rate confirmations, check calls, bills of lading, proof of delivery, and invoicing. Automation and AI can carry much of that, so dispatchers spend their time on drivers and customers.
Where the office time goes
Much of it is reading documents and retyping them, which suits AI extraction with a person checking.
Load intake
AI can read load tenders and rate confirmations from email and prepare the load in your transportation management system for a dispatcher to confirm, instead of typing every field.
Status updates
Customer updates sent automatically from tracking data at pickup, in transit, and delivery, so fewer customers call for check calls.
BOL and POD paperwork
Bills of lading and proof-of-delivery documents captured from driver photos, matched to the load, and flagged when something is missing or unreadable.
Invoicing and factoring
Delivered loads with complete paperwork flowing into invoices, or into your factoring submission, without rebuilding the packet by hand.
Keep safety and compliance decisions with people
Hours-of-service, dispatch decisions that affect driver safety, and anything regulators review stay with qualified people and the systems built for them, such as your ELD. AI can prepare information; it does not decide whether a driver can take a load.
Rates, customer agreements, and driver records are sensitive. Keep them out of consumer AI tools and use accounts with data controls.
Connect the systems you already have
Much of the gain can come from connecting what you already run: the transportation management system, email, accounting, and your factoring company. Decide which system owns each load, rate, and invoice first, and reconcile them on a regular schedule.
Find your first project
Fill this in with a dispatcher and whoever handles billing.
- Intake
- How many fields are typed by hand for each new load?
- Check calls
- How many status calls and emails does the office handle each day?
- Paperwork
- How long after delivery is the paperwork complete and the load invoiced?
- Systems
- Which TMS, accounting, and factoring tools are in use, and which connect?
Start with delivery-to-invoice. Faster, complete paperwork shortens the time until you are paid.
Next step
Connect your transportation management system, email, accounting, and factoring so a delivered load becomes an invoice without retyping.
