AI for financial advisors: more client time, less meeting prep and paperwork

Many advisors spend a large share of the week preparing for meetings, writing notes, chasing onboarding paperwork, and keeping the CRM current. AI can help draft and summarize, and automation can keep onboarding and follow-up moving. Advice, suitability, and every client communication stay under the advisor's and the firm's control.

Where an advisor's week goes

Each of these produces a draft that the advisor or operations team reviews.

  • Meeting prep

A one-page brief assembled before each review meeting from the CRM and recent activity, so the advisor walks in prepared without an hour of clicking.

  • Meeting notes

AI note-taking tools can draft a summary and action items from a meeting, which the advisor corrects before anything is saved to the client record.

  • Client onboarding

A checklist-driven onboarding flow that requests documents, tracks signatures, and reminds clients what is still missing.

  • CRM upkeep

Follow-up tasks, life events, and review dates created from notes and emails in CRMs such as Redtail, Wealthbox, or Salesforce, instead of typed by hand.

Compliance comes before the tool

Client communications, marketing, and records are subject to your regulators' recordkeeping, supervision, and advertising rules. Involve your compliance team or provider before using AI for anything a client will see or anything that becomes a business record, and confirm how each tool stores and archives what it produces.

Recommendations, suitability, and advice stay with licensed professionals. AI can organize information for a meeting; it does not decide what a client should do. This guide is practical, not legal or compliance advice.

Protect client data

Account numbers, tax documents, and personal financial details must stay out of consumer AI tools. Use approved business accounts with data controls, and keep a written list of which tools are approved for which information.
