AI for architecture and engineering firms: less administration, more design time

Small design firms lose billable hours to proposals, project setup, time entry, submittal tracking, and client updates. Automation can carry much of that administration, and AI can help draft proposals and meeting notes. Design judgment, code compliance, and anything that goes under a professional seal stay with licensed professionals.

Where non-billable time goes

Most of it sits between the design work.

  • Proposals

AI drafts proposal sections from your past proposals and a project brief, and a principal edits the scope and fee.

  • Project setup

A won proposal creates the project folder structure, the project in your management tool, and the kickoff tasks, all named the same way every time.

  • Time and billing

Reminders to enter time before invoicing, and approved hours turned into invoices without retyping.

  • Submittals and RFIs

A log that tracks what was sent, who owes a response, and when it is due, with reminders before deadlines slip.

Connect project management and accounting

Many small firms run projects in one tool, track time in another, and invoice from QuickBooks. Connecting them, or adopting a firm platform such as BQE Core or Monograph, gives principals one view of budget against hours. Decide which system owns projects, hours, and invoices before connecting anything.

Keep professional judgment with licensed staff

AI can summarize code sections or draft a narrative, but it can be confidently wrong. Anything that affects design, safety, or code compliance must be checked against the source by a licensed professional. Keep client drawings and confidential project information out of consumer AI tools unless your agreements allow it.

Find your first project

Proposals
How many hours does a typical proposal take, and how much is reused?
Setup
What steps does someone repeat every time a project is won?
Time
How often is invoicing delayed by missing time entries?
Systems
Which project, time, file, and accounting tools are in use, and which connect?

Start with project setup or time and billing. Both repeat on every project.
